Weekly Retainer Pricing
Our weekly retainer model to makes managing your practice’s virtual administrative needs simple and predictable. Retainer payments are billed every Monday, with the first payment due the week your virtual assistant begins. The retainer covers your selected days and hours.
Services are billed at a base rate of $28 per hour, with a minimum commitment of 3 hours per day. Time used beyond the daily minimum is tracked and billed in 15-minute increments.
You may request to increase or decrease your daily hours with at least one week’s prior notice. Please note that increases are subject to availability. Services are available Monday through Thursday.
What’s Included
Client Intake
Respond to and verify client appointment requests in a professional manner.
Conduct brief eligibility and program-fit screenings using clinician-defined criteria. Provide appropriate alternatives as needed.
Collect and verify demographic, referral, and contact information.
Track intake status and maintain waitlists when applicable.
Support clients through common intake barriers including technology access, forms, scheduling.
Ensure all required intake documentation is completed prior to the first appointment.
Coordinate with the billing specialist to verify client benefits and ensure that clients are informed of their financial responsibilities in a clear and timely manner.
Ongoing Client Support & Practice Management
Support client schedule needs including changes, cancellations, no-shows, and appointment requests.
Maintain ongoing client communication and follow up as needed. Document client communications per practice protocol.
Update and maintain accurate client records in the EHR to support compliance and continuity of care.
Support clinicians with schedule optimization and calendar management.
Create, customize, and use email and text templates tailored to your practice’s workflows and policies.
Compliance & Professional Standards
Maintain HIPAA-compliant handling of all client information.
Follow practice policies, state regulations, and ethical guidelines related to behavioral health administration.
Use secure systems and communication methods aligned with best practices.
